PtEverywhere pricing
PtEverywhere publishes three plans: Starter at $49 a month, Standard at $149 and Pro at $199, each including one therapist user, with every therapist after that charged separately. Starter carries a published appointment limit, so the first plan a busy clinic can run on is Standard. AI Scribe is included in all three.
Every figure and quotation below was read on PtEverywhere’s own site on September 21, 2026, in a browser, with the annual option switched on by hand. This page is written by LumiDesk, which sells competing software, so it quotes PtEverywhere’s own words and links each one back to the page it came from.
PtEverywhere’s pricing in full
PtEverywhere Starter is $49 a month and includes one therapist user. www.pteverywhere.com/pricing, September 21, 2026
PtEverywhere Standard is $149 a month and includes one therapist user. www.pteverywhere.com/pricing, September 21, 2026
PtEverywhere Pro is $199 a month and includes one therapist user. www.pteverywhere.com/pricing, September 21, 2026
Starter is capped. PtEverywhere’s own label for the limit, with the number it gives:
20 visits/mo
The page prints that number without a period, so how long the 20 visits have to last is not something PtEverywhere publishes. Standard and Pro are both listed as unlimited.
Staff who are not therapists are priced separately from the plan:
- Non-therapist accounts are $39 each a month, capped so that they do not outnumber the therapists. www.pteverywhere.com/pricing, September 21, 2026
Admins & Receptionists: $0
All plans include unlimited user accounts for patients, front desk personnel and administration staff.
Paying by the year
PtEverywhere publishes an annual price for Standard, at $1,639 a year, and for Pro, at $2,189 a year. Choosing the annual option removes Starter from the page, and the therapist and non-therapist rates stay published by the month. www.pteverywhere.com/pricing, September 21, 2026
The annual option is labelled a one-month discount, and each annual price is shown beside the twelve-month total it replaces, $1,788 for Standard and $2,388 for Pro. www.pteverywhere.com/pricing, September 21, 2026
Add-ons, and what is not priced
Revenue Cycle Management is an add-on at $39 per therapist a month. www.pteverywhere.com/pricing, September 21, 2026
Revenue Cycle Management requires additional setup by our Client Care team. Once you subscribe with this add-on, our team will reach out to complete onboarding and enable RCM in your account. Setup time may vary depending on your specific case.
The pricing page publishes no card processing rate and no per-transaction fee. www.pteverywhere.com/pricing, September 21, 2026
For a clinic its patients pay directly, the card rate is part of the monthly bill in everything but name, so that last line matters as much as the plan price.
How you buy it
Every plan on the pricing page carries the same button, Book a Demo. PtEverywhere does not publish a way to subscribe without booking one. www.pteverywhere.com/pricing, September 21, 2026
PtEverywhere does not publish a free trial. Its own FAQ answers how to try the product by asking you to request a demo. www.pteverywhere.com/faq, September 21, 2026
The AI scribe line
AI Scribe is included in every PtEverywhere tier, so your team gets faster documentation without add-on fees.
The pricing page lists AI Scribe as included on Starter, Standard and Pro, and lists no AI Scribe add-on. www.pteverywhere.com/pricing, September 21, 2026
LumiDesk includes its scribe in every seat too, unlimited, with no opt-in fee and no note count. On this one line the two products agree, and the price table below charges nothing for either scribe.
PtEverywhere’s terms
Two documents on PtEverywhere’s own site speak to what happens when you leave. The pricing page and the terms of service, in their own words, side by side:
Cancel at any time without paying a penalty.
You can cancel your account at any time, but paid fees are non-refundable.
Both are published by PtEverywhere, and this page leaves them as they are. On what the fee is charged for:
Fees are based on Services and not actual usage, and fees paid are non-refundable.
On the term you are authorising:
You will provide us with valid and updated credit card information, and you authorize us to charge such credit card for all Services ordered by you for the initial subscription term and any renewal subscription term(s).
PtEverywhere's terms name an initial subscription term and renewal terms, and do not publish how long either one runs. www.pteverywhere.com/terms-of-service, September 21, 2026
On changing the price of a subscription:
We may change the fees in effect but will give you advance notice of these changes via a message to the email address associated with your account.
There is one refund the terms do publish. It applies where you cancel because you do not accept an update PtEverywhere makes to the terms:
Where applicable, we'll offer you a prorated refund based on the amounts you have prepaid for Services and your account cancellation date.
Patient data and the BAA
PtEverywhere publishes a Business Associate Agreement on its own site, carrying an effective date of April 18, 2017 and no later revision date. www.pteverywhere.com/baa, September 21, 2026
The agreement states its own scope:
This Business Associate Agreement (“BAA”) covers your use and access to the PtEverywhere services, software, applications, and websites (“Services”).
A published BAA that covers your use of the service, rather than one you have to ask for, is worth knowing about. On what happens to patient records when the agreement ends:
Upon termination, Business Associate will return or destroy all PHI that Business Associate still maintains in any form, inclusive of PHI in the possession of Business Associate’s agents or subcontractors, and retain no copies of such information to the extent feasible.
PtEverywhere answers its own question, is the platform HIPAA and PCI compliant, with: Yes. Data is encrypted at rest and in transit, with role-based access, audit logs, and secure payment tokenization. www.pteverywhere.com/practice-management-software, September 21, 2026
PtEverywhere's platform page names no hosting provider and no third-party security audit. www.pteverywhere.com/practice-management-software, September 21, 2026
LumiDesk names its cloud provider, publishes its subprocessors and dates its BAA. What LumiDesk claims about patient data, and what it does not.
LumiDesk vs PtEverywhere: what each costs
LumiDesk is $550 per clinician seat prepaid for a year, or $55 per seat per month, which is $660 a seat over a year. Only clinicians take up a seat. PtEverywhere is shown at Standard, the cheaper of its two uncapped plans, at its published annual price, with its therapist bands read the way that costs least. The table is in years because that is the only unit both prices exist in: their annual option covers the plan and leaves the therapist rates by the month.
| Clinicians | 1 | 2 | 3 | 5 | 9 |
|---|---|---|---|---|---|
| LumiDesk (Includes AI Scribe)$550 per clinician seat, prepaid for a year | $550 | $1,100 | $1,650 | $2,750 | $4,950 |
| PtEverywhere Standard (Includes AI Scribe)published annual plan price, plus twelve months of its therapist ratewww.pteverywhere.com/pricing, September 21, 2026 | $1,639 | $2,539 | $3,439 | $5,239 | $7,399 |
Every figure is one year at that clinic size. Each vendor is shown at its cheapest published plan that puts no appointment cap on a clinician's schedule, includes AI scribed notes, takes card payments, and gives patients a portal with intake forms, paid the cheapest way that vendor publishes. Every clinician is counted as full-time, with the scribe turned on for each one.
- LumiDesk is shown prepaid for a year at $550 per clinician seat; paid by the month a year is $660 a seat.
- PtEverywhere's published annual price of $1,639 covers the Standard plan only; its therapist rates stay published by the month, so those are counted here at twelve months. PtEverywhere charges for extra therapists in bands and does not publish how the bands compose, so these figures take the reading that costs less: the whole clinic at the band it has reached.
Yearly prices before tax, in US dollars, as published on each vendor's site on September 21, 2026.
- Starter is not priced here. PtEverywhere publishes an appointment limit on it:
20 visits/mo
PtEverywhere, September 21, 2026
- LumiDesk prepaid costs less than PtEverywhere Standard with its included AI Scribe at every size, from 1 clinician up.
- PtEverywhere Standard with its included AI Scribe does not cost less than LumiDesk prepaid at any size PtEverywhere publishes a price for.
A three-clinician clinic is $299 a month on Standard against LumiDesk’s $165. Both numbers leave out the things neither company publishes a rate for, and PtEverywhere’s card rate is one of them.
The two prices are built differently, which is why they cross at all. PtEverywhere charges a plan fee and then less per therapist as a clinic grows, while LumiDesk charges the same for every seat however many there are.

Where PtEverywhere is strong
PtEverywhere sells a wider product than LumiDesk does, and a clinic looking at the two should know what the difference is.
- A home exercise program in every plan. Home Exercise Program is listed on Starter, Standard and Pro. www.pteverywhere.com/pricing, September 21, 2026 LumiDesk does not have one, so a clinic that prescribes exercise every day is buying a second tool alongside it.
- Telehealth and SMS, on Pro. SMS, telehealth, fax and premium integrations are listed on Pro, and not on Starter or Standard. www.pteverywhere.com/pricing, September 21, 2026 LumiDesk sends text reminders to patients who agree, and has no telehealth at any price.
- Patient messaging in the portal.
Self-service portal lets patients book visits, pay balances, and message therapists with HIPAA-secure chat.
www.pteverywhere.com/practice-management-software/physical-therapy-patient-portal, September 21, 2026 LumiDesk’s portal is for booking, intake and consent forms, and carries no messaging. - Insurance billing, in the same software.
Automated eligibility verifies coverage before the visit, preventing surprise denials.
www.pteverywhere.com/practice-management-software/rehab-therapy-billing-software, September 21, 2026 LumiDesk is built for clinics their patients pay directly, and it does not bill insurers. - Front desk and admin accounts at no charge.
All plans include unlimited user accounts for patients, front desk personnel and administration staff.
www.pteverywhere.com/pricing, September 21, 2026 This is one place the two price lists agree: neither company charges for front desk or admin accounts. - Help moving in.
Our onboarding team imports patients, encounters, digital documents, and even scan-to-text PDFs.
www.pteverywhere.com/practice-management-software, September 21, 2026 - A support promise on the pricing page.
We are here to ensure that you and your patients benefit fully from PtEverywhere, and we will assist you every step of the way.

When to choose PtEverywhere instead
Some clinics should buy PtEverywhere, and this is the honest list of them.
- You bill insurance, or you expect to. PtEverywhere pushes claims to a clearinghouse, verifies eligibility before the visit, posts ERAs back to the ledger and runs denials through an appeals workflow, with an RCM add-on if you want their team doing it. LumiDesk is built for clinics their patients pay directly. If claims are part of how you get paid, PtEverywhere does that work and LumiDesk does not.
- You want telehealth. It sits on their Pro plan, and LumiDesk does not offer video visits.
- You want a home exercise program and patient messaging in the same login. PtEverywhere lists both. LumiDesk has neither.
- You would rather be walked through it than read about it. Every PtEverywhere plan is bought through a demo, and an hour with someone who knows the software is a real way to choose one.
When LumiDesk fits
LumiDesk is built for one clinic in particular: a physical therapy practice paid by its patients rather than by insurers, run by someone who wants the whole clinic on one platform.
If that is you, what you get is one published price per clinician seat with everything in it. No base fee, no plan to outgrow, and no feature held back for a higher tier, which means taking the card, the superbill, the notes, the schedule and the patient portal are the seat you are already paying for rather than the tier above it.
The scribe is in that seat too, unlimited. PtEverywhere includes its own scribe in every plan, so this is the one comparison on the site where that line is a tie rather than a difference.
You can also read the whole price without booking anything. See the full pricing, or read how a cash-based clinic runs on LumiDesk.
Looking for a PtEverywhere alternative?
If you are weighing PtEverywhere against something else, the number to hold on to is not the $49 on the pricing card. It is what your clinic costs once every therapist is on it: Standard plus a banded rate for each therapist after the first, which is $299 a month at three clinicians. LumiDesk is $55 per clinician per month, published, with the front desk free and nothing held back for a higher plan.
Become a founding clinic
LumiDesk launches soon. Founding clinics keep the launch price of the plan they subscribe to for as long as they stay subscribed, and get an early invite to subscribe before the public switch-on. Founding clinics get help moving their data over from their current software.
You're on the founding waitlist.
A welcome email is on its way. We'll write again when founding clinics are invited to subscribe.
