HelloNote EMR pricing
HelloNote publishes three plans: Free, Lite at $49.99 a month for one user, and Plus, which starts at $70 a month and adds $45 for each full-time provider after the first. Its calculator prices Plus up to 10 full-time providers.
Every figure and quotation below was read on HelloNote’s own site on October 23, 2026, in a browser, with the pricing calculator driven by hand. This page is written by LumiDesk, which sells competing software, so it quotes HelloNote’s own words and links each one back to the page it came from.
HelloNote’s pricing in full
HelloNote Plus, priced per user, is $45 a month per full-time provider plus $25 a month for practice management: $70 a month for one provider. hellonote.com/pricing, October 23, 2026
HelloNote Lite is $49.99 a month, for one user. hellonote.com/pricing, October 23, 2026
The Free plan has a cap, in HelloNote’s own words:
EMR Documentation (Up to 2 Patients)
Lite has no published cap, but it is for one user, and HelloNote’s plan table does not list on it what a cash clinic takes payment through:
- HelloNote's own plan comparison table does not list credit card processing, a patient portal or intake forms on Lite. hellonote.com/pricing, October 23, 2026
So the table below prices Plus. On Plus:
- On Plus, a part-time provider is $30 a month for up to 100 notes; over 100 notes, HelloNote bills the full-time rate. hellonote.com/pricing, October 23, 2026
- HelloNote's Plus calculator prices 1 to 10 full-time providers and does not publish a price above 10. hellonote.com/pricing, October 23, 2026
- A clearinghouse, for billing and eligibility, is an optional $25 a month add-on on Plus. hellonote.com/pricing, October 23, 2026
Paying by the note instead
Plus can instead be priced per note: $99 a month, plus $0.75 a standard note or $0.95 a billable note. hellonote.com/pricing, October 23, 2026
HelloNote says who that suits, and works an example:
Per-note pricing usually costs less for larger teams that write fewer notes in total, because users are unlimited.
For example, 10 full-time providers writing 300 standard notes a month would pay $475 per month on per-user pricing or $324 per month on per-note pricing.
A per-note bill moves with how much a clinic documents, so this page does not price it. A clinic that writes few notes for its size may pay HelloNote less than the table below shows.
Paying by the year
HelloNote does not publish an annual price. hellonote.com/pricing, October 23, 2026
Its Terms of Service do provide for one. A paid account
may elect a one-year agreement at a discounted rate
HelloNote's Terms of Service state no rate for the one-year agreement. hellonote.com/terms-of-service, October 23, 2026
So this page uses none. How you buy it
On HelloNote's pricing page, the Lite and Plus cards offer "Schedule Demo" and the Free card offers "Sign up Now". hellonote.com/pricing, October 23, 2026
The AI scribe line
HelloNote states it two ways. Its AI Scribe page, and its October promotion page:
Part of HelloNote on every plan including free. No add-ons, no per-session fees.
Free AI Scribe for 30 days
HelloNote does not publish a price for its AI Scribe, and its pricing calculator has no scribe line. hellonote.com/pricing, October 23, 2026
The table below follows the scribe page, and adds nothing for the scribe.
LumiDesk includes its scribe in every seat too, unlimited, with no opt-in fee and no note count.
HelloNote’s terms
HelloNote’s pricing page and its Terms of Service, in their own words, side by side. On leaving:

No. HelloNote has $0 setup fees and no contracts on every plan, including Plus.
Acceptance of this form by the Subscriber authorizes HelloNote to charge the credit card of the Subscriber on a monthly basis for Services rendered as well as for an initial login setup cost.

LumiDesk vs HelloNote: what each costs
LumiDesk is $550 per clinician seat prepaid for a year, or $55 per seat per month, which is $660 a seat over a year. Only clinicians take up a seat. HelloNote is shown at Plus, priced per user, because Free is capped and HelloNote’s plan table lists no card processing on Lite. The table is in years, and HelloNote publishes no annual price, so a year on HelloNote is twelve months of its published monthly price.
| Clinicians | 1 | 2 | 3 | 5 | 9 |
|---|---|---|---|---|---|
| LumiDesk (Includes AI Scribe)$550 per clinician seat, prepaid for a year | $550 | $1,100 | $1,650 | $2,750 | $4,950 |
| HelloNote Plus (Includes AI Scribe)twelve months at its published monthly price | $840 | $1,380 | $1,920 | $3,000 | $5,160 |
Every figure is one year at that clinic size. Each vendor is shown at its cheapest published plan that puts no appointment cap on a clinician's schedule, includes AI scribed notes, takes card payments, and gives patients a portal with intake forms, paid the cheapest way that vendor publishes. Every clinician is counted as full-time, with the scribe turned on for each one.
- LumiDesk is shown prepaid for a year at $550 per clinician seat; paid by the month a year is $660 a seat.
- HelloNote publishes no annual price, so its figures here are twelve months at its published monthly price. HelloNote's AI Scribe page says the scribe is included on every plan, while its October promotion page offers it free for 30 days; HelloNote publishes no price for it, so the table adds none. HelloNote Plus is priced per user, at $45 per full-time provider plus $25 a month for practice management. Its per-note option, $99 a month plus $0.75 or $0.95 a note, is metered, so a clinic writing few notes may pay HelloNote less than the table shows.
Yearly prices before tax, in US dollars, as published on each vendor's site on October 23, 2026.
- HelloNote Free ($0) is not priced in the table. HelloNote publishes it as
EMR Documentation (Up to 2 Patients)
HelloNote, October 23, 2026 - HelloNote Lite ($49.99 a month) is not priced in the table. HelloNote's own plan comparison table does not list credit card processing, a patient portal or intake forms on Lite. HelloNote, October 23, 2026
- LumiDesk prepaid costs less than HelloNote Plus with its included AI Scribe at every size from 1 to 10 clinicians.
- HelloNote Plus with its included AI Scribe does not cost less than LumiDesk prepaid at any size HelloNote publishes a price for.
The two prices are built differently. HelloNote charges a flat $25 a month for practice management and then $45 for each provider, so the fee weighs most on a small clinic and least on a large one.

Where HelloNote is strong
HelloNote is a serious option for the same clinics LumiDesk is built for.
- Price per provider. Plus is $45 a provider after a flat $25, so its per-clinician rate is below LumiDesk's $55 monthly seat.
- A free plan. HelloNote’s Free plan costs nothing, and its pricing page lists it as
EMR Documentation (Up to 2 Patients)
hellonote.com/pricing, October 23, 2026 LumiDesk has no free plan. - Cash-based practice is a segment it names. Asked whether a clinic can sell prepaid packages or
memberships, HelloNote answers
Absolutely. Create custom service bundles, track remaining visits, and let the system auto‑debit sessions as they’re used.
hellonote.com/best-emr-for-cash-based-practice, October 23, 2026 - Rehab-specific compliance.
HelloNote includes real-time alerts for Medicare requirements (like the 8-minute rule and G-codes), helping you avoid denials.
hellonote.com/physical-therapy-emr, October 23, 2026The system also tracks plan of care expirations and physician signatures, ensuring your documentation is always audit-ready.
hellonote.com/physical-therapy-emr, October 23, 2026 - Help moving in, on Plus.
Data migration is included on the HelloNote Plus plan at no extra cost.
hellonote.com/pricing, October 23, 2026 HelloNote's plan table lists live system onboarding, billing training and data migration from a prior EMR on Plus, and not on Lite or Free. hellonote.com/pricing, October 23, 2026
When to choose HelloNote instead
Some clinics should buy HelloNote, and this is the honest list of them.
- You want to start free, or you don’t take payment through your practice software. HelloNote’s Free plan costs nothing for up to 2 patients, and Lite is $49.99 a month, with no card processing, patient portal or intake forms listed on it. LumiDesk has no free plan and no cheaper tier.
- Your clinicians write few notes. HelloNote’s per-note option is $99 a month for unlimited users plus a rate for each note, and HelloNote’s own example puts ten providers writing 300 notes a month at less than its per-user price. LumiDesk charges one seat per clinician however many notes they write, so a light-documenting clinic may pay HelloNote less than the table above shows.
- You bill insurance, or you expect to. HelloNote's plan table lists billing and eligibility on Plus, and not on Lite or Free. hellonote.com/pricing, October 23, 2026
Of its clearinghouse add-on, HelloNote says
It adds billing and eligibility tools, so your practice can submit claims and check insurance eligibility inside HelloNote.
hellonote.com/pricing, October 23, 2026 LumiDesk is built for clinics their patients pay directly, and it doesn’t bill insurers. - You treat Medicare patients. HelloNote's plan table lists Medicare compliance reports, including plan-of-care management, on Plus, and not on Lite or Free. hellonote.com/pricing, October 23, 2026 LumiDesk does not claim Medicare compliance alerts or plan of care tracking.
- You want your old records moved for you, with a person walking you through it. HelloNote includes data migration on Plus at no extra cost, and its plan table lists live onboarding there. LumiDesk imports your patient list from your current software's export, and the rest is set up by hand.
When LumiDesk fits
LumiDesk is built for one clinic in particular: a physical therapy practice paid by its patients rather than by insurers, run by someone who wants the whole clinic on one platform.
If that is you, what you get is one published price per clinician seat with everything in it. No practice management fee, no plan to outgrow, and no feature held back for a higher plan, which means taking the card, the superbill, the notes, the schedule and the patient portal are the seat you are already paying for.
The scribe is in that seat too, unlimited. HelloNote's scribe page says its scribe is included on every plan as well, so on this line the two products agree, and the price table above charges nothing for either scribe.
You can read the whole price without booking anything. See the full pricing, or read how a cash-based clinic runs on LumiDesk.
